Leads
Gather potential clients in one place, follow them up with statuses and notes, and convert them into clients.
Leads are available both for independent trainers and for organisations. In an organisation, leads can be assigned to trainers, and management gets an overview of the entire pipeline.
Adding new leads
Go to Leads in the menu and tap New lead, or use Add lead on the dashboard.
Enter name, phone and email. It's a good idea to add where the lead came from (website, Instagram, referral) and what they're interested in.
Document consent. You must be able to show that the person has agreed to you storing their contact details and getting in touch. Mark the consent and note how it was given, for example "form on website" or "verbally at the gym".
Save. The lead gets the status New.
Leads can also come in on their own: requests from your landing page are displayed on the dashboard.
Bulk upload via CSV
If you have a list from a form, a campaign or another system, you can upload many leads at once:
Tap Import in the leads list and download the template.
Enter one lead per row with name, phone and email in the template's columns. Save as CSV.
Upload the file. PT Pro shows you how many will be created before you confirm.
Status and follow-up
Each lead has a status that shows where it is in the process:
- New: Just added, not contacted yet.
- Contacted: You have been in touch. When you log a contact on a new lead, this status is set automatically.
- Pending: The ball is in the lead's court, for example they're thinking it over or coming in for an intro session.
- Lost: The lead said no or never replied.
- Converted: The lead has become a client.
In an organisation, there is also Returned: a lead the trainer has sent back to the gym with "Remove from me / return to gym", so it can be assigned to someone else. This status cannot be set manually.
The list is sorted by status (New, Contacted, Pending) and then by date, so whatever is most urgent is at the top. You can select several leads and act on them together: assign a trainer, change status or delete.
Converting to a client
When a lead says yes, tap Convert to client on the lead. The client is created with name and contact details already filled in, and you go straight on to choosing product, language and payment method, just like when you create a client from scratch. See Your first client for the rest of that process.
History and timeline
Everything that happens with a lead is logged on a timeline: when it was created, every contact you've logged, status changes and notes. When the lead is converted, the entire history carries over to the client. That means you can always go back and see how the client relationship began.
Archive
Leads with the status Lost or Converted are automatically moved to a separate archive folder, so the active list only shows the ones you're still working on. The archive isn't deleted: you can open it at any time to see old leads, and a lost lead who gets in touch again can be brought back by changing the status.
